Guest print and Scan to OneDrive
This guide explains two features your organisation can switch on. Guest Print lets someone who is not a normal user send a document through the web upload page and collect it at a device with a short Job Code. Scan to OneDrive delivers a user's scans into a Cirros folder on their own OneDrive. Both are enabled by Cirros. The only setup your organisation does is a one-off administrator consent for OneDrive.
Guest Print
A guest uploads a document on the web upload page and is given a short Job Code, for example AB12. They then use the code to collect the job at a Cirros device.
- The guest submits. They upload a document on the web upload page. See Uploading documents to print.
- A Job Code is issued. It is shown on screen, and may be emailed.
- At the device. The Job Code is entered on the print job list.
- The job is released. The job prints.
Ways to release a guest job
There are three ways to collect a guest job. They differ only in how the job is released at the device.
| Option | How the guest job is collected | Best for |
|---|---|---|
| A. Staff release by job code | A signed-in member of staff opens the print job list at the device, selects the job code button, enters the guest's code and releases the job. Usually at a reception or help desk. | Occasional guests |
| B. Anonymous device access | The device shows Guest and Staff buttons. The guest selects Guest, chooses Print, enters the Job Code and releases the job, with no staff involved. Copy and scan can be allowed too. | Self-service guest printing |
| C. Anonymous with payment | As option B, with a payment terminal on the device so the guest pays at the point of release. See Paying for public printing. | Paid public or guest printing |
Which to choose. Option A is the simplest fit for infrequent external guests. You can move to option B later if you want self-service. Ask your IT support about options B and C.
What Guest Print needs
| Who | What they do |
|---|---|
| Cirros | Turns on job code entry on the print job list for the chosen devices, and sets up the guest route on the web upload page. For options B and C, also turns on anonymous device mode (and the payment terminal for C). |
| Your organisation | Chooses the release option. For option A, makes sure reception or help desk staff have a normal Cirros sign-in. Shares the web upload address with guests. |
| The guest | Uploads the document and notes the Job Code they are given. |
Scan to OneDrive
When a user scans at a Cirros device, Cirros delivers the scan to their Microsoft OneDrive. It lands in a dedicated Cirros application folder.
Scan to Email may be simpler. There is no size limit on Scan to Email. If a scan is too large to email, Cirros sends the recipient a secure download link instead. Choose Scan to OneDrive if you specifically want scans filed to OneDrive.
What Scan to OneDrive needs
A Microsoft Entra global or privileged administrator at your organisation grants admin consent to the Cirros Scanning enterprise application. This is done once.
What the consent allows. It gives Cirros access only to its own dedicated folder on each user's OneDrive, not to the rest of their files. Cirros cannot see or change any other OneDrive content.
Connecting Scan to OneDrive
- Get the link. Ask your IT support to request the admin-consent link for the Cirros Scanning application.
- Grant consent. Your Entra administrator opens the link, signs in and grants consent for the organisation.
- Confirm. Tell your IT support that consent has been granted.
- Switch it on. Cirros enables Scan to OneDrive for your organisation, and it appears as a scan destination at your devices.
Who does what
| Feature | Your organisation | Cirros |
|---|---|---|
| Guest Print | Choose the release option, make sure reception staff can sign in (option A), share the web upload address with guests. | Turn on job code release and the guest route, and anonymous or payment mode if chosen. |
| Scan to OneDrive | An Entra administrator grants one-off admin consent to the Cirros Scanning application. | Provide the consent link and enable Scan to OneDrive once consent is granted. |
